1. Opening — Technology is becoming an operational safety system

“This year’s Technology Department report focuses on the systems we have completed and the next phase of operational maturity. The goal is not only to install technology, but to improve safety, accountability, communication, and response across all campuses.”

2. Completed foundations

Emphasize that the district now has major foundations in place: access control, visitor management, Verkada intercoms, CrisisGo emergency management system, including reunification drill compliance, audit logs, fast report retrieval, and reunification workflows, Armor surveillance, solar ramada Wi‑Fi/cameras, Crosswalk internal access, and gym A/V modernization progress including SLMS completion, ADS visual display progress, and RCS audio completion with stage projection pending.

3. Transportation and dismissal visibility

Explain the connection between Crosswalk, SafeWalk, and the consolidated InformaCast bus-arrival/speaker-display workflow: the department is improving visibility before, during, and after student movement. Crosswalk supports transportation visibility; SafeWalkTracker will log walker/non-walker scans from student ID barcodes and Synergy export data; the InformaCast application lets bus drivers announce arrival to schools, with planned Atlas speaker/display installations supporting instructional and visual announcements where installed.

4. Food safety and proactive monitoring

“Sonicu moves the district from reactive discovery to proactive alerts. Instead of discovering a freezer problem after inventory is already at risk, alerts can be sent by text, email, phone, and app to the Food Department, Maintenance, and administrators.”

5. Access control next phase

Explain that access control is already established, but the next maturity step is door visibility and completion of remaining exterior doors. Door contact sensors would help monitor door-open activity across school sites, including doors without electric strikes/access-control locks and situations where a physical key is used instead of electronic access control.

Important wording: “This is future/planned only. The district plans to include Verkada Q-Series QC11-W wireless door/window sensors and remaining exterior-door access-control completion in the next COPS grant application. COPS is competitive, so funding is not guaranteed.”

6. RCS intercom system upgrade

“The district plans to include a new intercom system for Rio Colorado School in the next COPS grant application. This is future/planned only and depends on grant approval; because COPS is competitive, funding is not guaranteed.”

7. Vape detection / air quality

Frame this as future/planned only and COPS grant-dependent. It was requested by the middle schools; prioritize SLMS and SWJH first, then elementary schools if approved. Emphasize student safety/wellness, faster administrator alerts, trend visibility, and privacy-sensitive monitoring where cameras are not appropriate—not surveillance.

“The Technology Department’s next phase is operational maturity: better monitoring, better alerts, better documentation, safer campuses, and stronger accountability. These systems help protect instructional time and improve the district’s ability to respond before small issues become major operational problems.”
